Short answers to the questions we get most. If yours is not here, email support and a person will reply.

Sending documents

What file types can I upload?

PDF only, up to 25 MB and 200 pages. We check the file really is a PDF rather than trusting the extension. Password-protected or encrypted PDFs are rejected: remove the password first. To send a Word document, export it to PDF.

How do I add fields for different signers?

Add each recipient first (name, email, role: signer or CC). Then select a recipient and drag fields onto the page; each field belongs to the recipient selected when you placed it and is colour-coded. You can change a field's recipient from its properties panel.

What is the difference between sequential and parallel signing?

Parallel: every signer is invited at once and signs in any order. Sequential: signer 1 is invited first; signer 2 is only emailed once signer 1 has finished, and so on. Use sequential when one party should sign only after seeing the other's signature, for example a landlord countersigning after tenants.

Can I send the same contract to many people separately?

Yes, on Pro and Team. Save the contract as a template, then use Bulk send: upload a CSV with one person per row (and, if you like, an access code and mobile number for each). Every row is checked before anything is sent, and each person gets their own contract with its own certificate.

Can I edit a document after sending?

No: the original is hashed at send time and signers must all see the same file. Void the document and send a corrected one. Voiding is recorded in the audit trail and signers are notified.

How do access codes work?

Set a code for a signer in the recipient panel before sending and tell them separately (phone, text, in person). They must enter it before the document opens. Codes are stored hashed and allow 5 attempts before a 15-minute lock.

When do reminders go out?

You can send a manual reminder from the document page at any time, on any plan. Pro also sends automatic reminders to anyone who has not signed 3 and 7 days after sending. Every reminder is logged.

What happens when a document expires?

Links stop working after the expiry (default 30 days, adjustable per document up to 180 days). The document is marked expired and nobody can sign. Create a new document (from the template, on Pro) to try again.

Signing a document you received

I received a signing email. Is it genuine?

Genuine AiresDocs emails come from no-reply@airesdocs.com, name the sender, and link to a page on app.airesdocs.com. We never ask for passwords or payment. If you are unsure, contact the sender by a route you already trust before opening the link.

Do I need to create an account to sign?

No. Open the link, read the document, tick the consent box, complete your fields, and press finish. You will receive the completed PDF by email once everyone has signed.

Can I sign on my phone?

Yes. The signing page is designed for phones: scroll the document, tap each highlighted field, draw with a finger or type your name. Turn the phone sideways for a wider signature pad.

I made a mistake. Can I change my signature?

Before pressing finish, tap the field again to clear and redo it. After finishing, your signature is recorded; ask the sender to void and resend if a correction is needed.

I do not agree with the document.

Use Decline and give a reason. The sender is notified immediately and the document stops. Nothing is signed.

Where is my signed copy?

When the last person signs, everyone is emailed the completed PDF (attached if under 10 MB, otherwise as a download link). Check spam if it has not arrived, then ask the sender, who can download it from their dashboard.

Accounts, billing and data

How do I sign in?

Enter your email and we send a one-time magic link, or use Sign in with Google. There is no password to remember or leak.

What does the free plan include?

3 documents sent per calendar month with unlimited signers, the completion certificate, audit trail, verification and access codes. Emails carry "Sent with AiresDocs" branding. See the pricing page for the full comparison.

How do I upgrade, downgrade or cancel?

Settings → Billing opens the Stripe customer portal where you can subscribe, switch between monthly and yearly, update your card and cancel. Cancellation takes effect at the end of the paid period.

Where are my invoices?

In the billing portal, and emailed to you after each payment. You can edit the business details that appear on them there.

How do I export or delete my data?

Settings → Data: Export downloads a ZIP of every completed PDF plus the audit trail of each document as JSON. Delete account removes your profile, documents, templates and files and cancels any subscription.

How do I verify a completed PDF?

Open the verification page (https://app.airesdocs.com/verify), upload the PDF or enter its document ID, and compare. No account needed. The guide on verifying a signed PDF explains what a mismatch means.

Still stuck?
