Terms of Service
These terms govern your use of AiresDocs. They are written to be read; the headings are part of them. Please pay particular attention to the sections on legal effect, warranties and liability.
The agreement
AiresDocs is provided by Infinity Square Labs Ltd, registered in England and Wales (company number 16880965), registered office 483 Green Lanes, London, N13 4BS, United Kingdom ("we", "us"). By creating an account or using the service you agree to these terms, the privacy policy and the data processing terms, which together form the agreement between you and us. If you use AiresDocs on behalf of a business, you confirm you have authority to bind it, and "you" means that business. People who only sign documents sent by a customer are not party to this agreement; the signers section explains what applies to them.
The service
AiresDocs lets you upload PDF documents, place fields, send them to named recipients for electronic signature, collect the signatures, and receive a completed PDF with a completion certificate and audit trail. Technical limits (currently 25 MB and 200 pages per document, and the recipient and field limits stated in the app) apply and may change. Features marked Pro require a paid subscription. We may add, change or withdraw features; we will give reasonable notice of changes that remove a material feature from a paid plan.
Your account
- You must be at least 18 and provide accurate details. Keep your sign-in method secure; you are responsible for activity under your account unless caused by our breach.
- One account per person. A business may have several accounts for different people.
- Tell us promptly at support@airesdocs.com if you believe your account has been compromised.
Plans, payment and cancellation
- Free plan. 3 documents sent per calendar month (UTC), with AiresDocs branding on emails. A document counts when sent.
- Pro plan. £12 per month or £99 per year (or the USD/EUR equivalents shown at checkout), including VAT where applicable, for unlimited documents, templates, your branding and automatic reminders. Prices are those shown on the pricing page when you subscribe; we may change prices for future periods with at least 30 days' notice by email.
- Payment is taken in advance by Stripe. Subscriptions renew automatically at the end of each period until cancelled.
- Cancellation. You can cancel at any time in the billing portal. Cancellation takes effect at the end of the current paid period; we do not refund part-periods except as set out below or as required by law. After cancellation your account returns to the Free plan with your documents intact.
- Refunds. If the service has materially failed to work, contact us within 14 days of the charge and we will put it right or refund the charge. Consumers have additional statutory rights, including a 14-day cancellation right for distance contracts, which we honour; by using Pro features before that period ends you request that the service begin immediately and acknowledge that a proportionate charge may apply.
- Failed payments. If a renewal fails, Stripe will retry and email you. If payment is not received within 14 days we may downgrade the account to Free.
- Taxes. Prices include UK VAT where it applies; for other countries Stripe applies the relevant tax at checkout and the invoice states it.
Your documents
You own your documents and everything in them. You grant us only the licence we need to host, process, transmit and display them to provide the service to you and your recipients, and to produce completed PDFs, certificates and backups. We do not claim any other rights, do not use your documents to train models, and do not look at them except for support at your request or to investigate abuse or security incidents. You are responsible for the content of your documents and for having the right to send them to the recipients you choose. You can export your documents and delete them, or your whole account, at any time from settings.
Signers and recipients
When you send a document, AiresDocs emails the recipients you name on your behalf. Recipients do not need an account and are not bound by these terms; they agree, on the signing page, to sign electronically and to receive documents by email, and they are told what is recorded. You are responsible for choosing appropriate recipients, for the lawfulness of your request to them, and for giving them any privacy information your own obligations require. We will not use recipients' details for any purpose other than delivering and recording your document.
Acceptable use
You must not use AiresDocs to:
- send documents to people who have not agreed to receive them from you, or send unsolicited or bulk mail;
- misrepresent who you are or who a document comes from, or send phishing or fraudulent documents;
- upload content that is unlawful, infringes others' rights, or contains malware;
- attempt to access other customers' documents, probe or disrupt the service, circumvent plan limits, or scrape it;
- sign on behalf of another person without authority, or share a signer's link with anyone other than that signer.
We may suspend or terminate accounts that breach these rules, and remove documents where necessary, giving notice where we reasonably can.
Legal effect of signatures
AiresDocs provides electronic signatures with an audit trail: simple and advanced-style electronic signatures in the terminology of the eIDAS Regulation. It does not provide qualified electronic signatures, identity verification against official documents, notarisation or witnessing. Whether a signature obtained through AiresDocs is valid and enforceable for a particular document depends on the law that governs that document and on matters outside our control, such as the signer's authority and the document's formalities. Information on this website about signature law is general information, not legal advice, and we do not warrant that an electronic signature is suitable for any particular document. You are responsible for deciding whether to use electronic signatures for your documents; see how electronic signatures work and take advice where appropriate.
Data protection
You are the controller of the personal data in your documents and about your recipients; we are your processor. The data processing terms form part of this agreement and apply automatically. For your own account data we are the controller, as described in the privacy policy.
Intellectual property
The AiresDocs software, website, design, name and mark belong to us or our licensors. You may use the service as these terms allow and nothing else. Feedback you give us may be used freely without obligation. The completion certificates and PDFs the service produces from your documents are yours.
Availability and changes
We aim to keep AiresDocs available at all times but do not guarantee uninterrupted service; maintenance, provider outages and events beyond our control can cause downtime. We will give notice of planned maintenance where practical and will try to schedule it outside UK business hours. We may change these terms by posting the new version here, recording the change in the changelog and, for material changes, emailing account holders at least 30 days before they take effect. If you do not accept a change you may cancel; continuing to use the service after the effective date is acceptance.
Warranties
We warrant that we will provide the service with reasonable skill and care and substantially as described on this website. Except for that, and to the extent the law allows, the service is provided "as is" and we exclude all other warranties, including that it will be error-free, uninterrupted, or fit for a particular purpose, and any warranty about the legal effect of any signature or document.
Liability
Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited by law. Subject to that:
- We are not liable for any loss of profit, revenue, business, goodwill or data, or for any indirect or consequential loss, arising from the service or these terms, however caused.
- We are not liable for the content of documents, for the conduct of signers or recipients, for the validity or enforceability of any signed document, or for decisions you make in reliance on information on this website.
- Our total liability to you for all claims arising out of or relating to the service in any 12-month period is limited to the greater of £100 and the amount you paid us in that period.
If you are a consumer, these limits do not affect your statutory rights and you may have rights under the Consumer Rights Act 2015 that cannot be excluded.
Termination
You may close your account at any time from settings, which deletes your documents and data as described in the privacy policy. We may suspend or terminate your account for material breach of these terms (immediately for serious breaches, otherwise after notice and a reasonable opportunity to remedy), or on 30 days' notice if we discontinue the service, in which case we will refund any prepaid period beyond the termination date and give you time to export your documents. Sections that by their nature should survive (documents, liability, governing law) survive termination.
General
These terms are the entire agreement between us about the service. If any part is unenforceable the rest continues. Failure to enforce a right is not a waiver. You may not transfer this agreement without our consent; we may transfer it to a successor to our business on notice. Notices to us go to support@airesdocs.com; notices to you go to your account email. Nothing in these terms creates a partnership or agency.
Governing law
These terms and any dispute arising from them are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except that consumers resident elsewhere in the UK or in the EU may rely on the mandatory consumer protection rules and courts of their place of residence.
