For landlords and agents
Tenants moved in on the day, paperwork proved for years
A tenancy that waits for printed signatures is a void week. Send the tenancy pack from a template the moment the offer is agreed, let each tenant sign from their phone, countersign last, and hold a certificate that shows every document was given and every signature was theirs.
- Tenancy pack signed and deposit clock started the same day
- Every notice and certificate served, with proof
- Portfolio-wide letters sent from one spreadsheet
What landlords and agents send through AiresDocs
Each one is a template you set up once. The right-hand column says whether it can be signed electronically, and where the law asks for something more.
Tenancy agreement with written statement
Sign electronicallyThe periodic assured tenancy (England, from May 2026) with the required written information about the terms, or your PRT, occupation contract or NI equivalent.
Leases over three years, and anything drafted as a deed, need a witness physically present; use paper or a conveyancer.
Deposit prescribed information and safety documents
Sign electronicallyDeposit scheme details, gas safety, EPC and electrical report, acknowledged by the tenant.
Attach as read-and-acknowledge documents in the pack; the tick and time are on the certificate.
Inventory and check-in report
Sign electronicallyThe condition of the property at the start, agreed by the tenant within days of moving in.
An attachment field lets the tenant add their own photos; everything is sealed with the report.
Guarantor agreement
Electronically, with careA third party's promise to cover the rent.
As a simple contract, yes, to the guarantor's own email with an SMS or access code. As a deed, it needs a witness in the room.

Tenancy agreement with the written statement, then the deposit information and safety documents as acknowledgements. Roles: "Tenant 1", "Tenant 2", "Landlord". Save as a template and update it when the law or your terms change.
- 2
Send the day the offer is agreed
Type the tenants' names and emails, pre-fill the rent, deposit and start date, give both tenants order 1 and yourself order 2, set a short expiry, add SMS codes if you have never met them.
- 3
Tenants sign from their phones
Each tenant reads, ticks the acknowledgements and signs, in their own language if that helps. You countersign last, from your desk or in the branch.
- 4
Protect the deposit and file the proof
The sealed pack and certificate arrive for everyone. Record the completion date in your register, protect the deposit within 30 days, and keep the contract ID.
The features that do the work for landlords and agents
Packs with acknowledgements
Agreement, written statement and the documents you must serve, in one send with one certificate that proves service.
Templates that survive a legal review
Roles instead of names; fields anchored to text so a revised agreement re-places them in minutes.
SMS codes and ID checks for strangers
For tenants and guarantors you have never met, a second factor recorded on the certificate.
Portfolio letters from a spreadsheet
Rent reviews, information sheets and updated terms to every tenant at once, each with their own certificate.
Signing on the tenant's phone
No account, no printer, seven languages, and a comment box so a question does not become a week of silence.
Your agency's name on everything
Your logo and sender name on every email; shared templates across the branch; reports on time to let.

Questions landlords and agents ask
For the law behind the answers, see when electronic signatures are binding. None of this is legal advice.
Can a tenancy agreement in England be signed electronically?
An ordinary residential tenancy of three years or less does not need to be a deed (Law of Property Act 1925, s 54(2)), so it needs no witness and the general rule that a signature is not invalid for being electronic applies. Longer leases, and anything drafted as a deed, need a witness physically present. The tenancy guide sets out the law; it is not legal advice.
What changed with the Renters' Rights Act 2025?
From 1 May 2026 new tenancies in England are periodic assured tenancies, section 21 notices have gone, and landlords must give tenants written information about the key terms before the tenancy is entered into (it can be inside the agreement). Signing method is unaffected; the content of your template is. Check current GOV.UK guidance when you update it.
Can both joint tenants sign from one phone?
Each tenant should receive their own invitation and sign from their own email account, so each signature is attributed to the right person. Give them the same order number so they sign in parallel, and put yourself last.
How do I prove the deposit information and safety certificates were given?
Attach them as read-and-acknowledge documents in the tenancy pack. The tenant ticks each one; the certificate records the acknowledgement with the time. Protect the deposit within 30 days as usual and note the dates from the certificate.
What about a guarantor?
If the guarantee is drafted as a deed (look for "executed as a deed" or a witness block) it needs a witness in the room and should not go through an ordinary e-signature flow. If it is a simple contract, send it as its own contract to the guarantor's own email, ideally with an SMS code or an access code shared by phone, since guarantors are the party most likely to dispute later.
