For agencies and freelancers

Agreed in writing before the work starts, every time

Scope creep and late payment both start with a project that began on a handshake. Send the proposal from a template, let the client sign on their phone, and start work with the scope, the price and the payment terms signed and sealed under your own brand.

  • Proposals signed while the client is excited
  • The exact scope and price on record if anything is disputed
  • Your brand on every email, not ours
The agreements

What agencies and freelancers send through AiresDocs

Each one is a template you set up once. The right-hand column says whether it can be signed electronically, and where the law asks for something more.

  • Proposal or quote

    Sign electronically

What you will do, by when, for how much, with validity so the price does not hang around forever.

Set an expiry of a week or two; a signed proposal is a commitment, an unsigned one is a conversation.

  • Statement of work or services agreement

    Sign electronically

Deliverables, milestones, acceptance, fees, revisions, IP and notice.

Use a currency field for the fee and a dropdown for the payment schedule so the client sees the terms clearly.

  • NDA

    Sign electronically

Confidentiality before you see the client's plans, or before a subcontractor sees yours.

Publish as a contract link so a prospect can sign before the first call.

  • Terms of business or retainer

    Sign electronically

Your standing terms for an ongoing relationship: hours, rate, notice, how changes are agreed.

A template that every client signs once; renewals go out in bulk at year end.

The workflow

From agreed in principle to signed and filed

The same four moves every time, so the process does not depend on who is in the office.

  1. 1 Prepare

    Any agreement ready in minutes

  2. 2 Send

To the right people, in the right order

  3. 3 Sign

From any phone, with nothing to install

  4. 4 Manage

    Sealed, filed and provable

  1. 1

    Prepare your four templates

Proposal, statement of work, NDA and terms of business, with roles "Client" and "You", your logo and sender name set once in branding.

  2. 2

Send from the template, or let them come to you

Type the client's name and email and pre-fill the fee and dates, or send the contract link from your email signature.

  3. 3

The client signs on their phone

They read, ask a question in a comment if needed, and sign. Reminders chase if they go quiet; you countersign and the work can start.

  4. 4

    Invoice against a signed agreement

The sealed agreement and certificate are filed against the client. Raise the deposit invoice knowing the terms are signed, not assumed.

Questions

Questions agencies and freelancers ask

For the law behind the answers, see when electronic signatures are binding. None of this is legal advice.

Can the client sign a proposal straight from my email signature or website?

Yes. Publish your terms of business or standard proposal as a contract link. The client opens it, enters their details and signs; you are notified and can approve before countersigning. Each signing creates a separate contract with its own certificate.

What if the client wants changes to the statement of work?

Before anyone has signed, use "correct" to change the file or fields; the original is voided and the corrected version goes out under the same ID with the correction recorded. After signing, agree a variation as a new contract that references the first.

How do I get the deposit before I start?

Put the payment terms in the agreement and raise the invoice on the "completed" webhook or when you see the contract finish. Collecting a card payment during signing is available on request: it relies on connecting your own Stripe account, and the payment is recorded on the certificate.

The client says the scope was different. What do I have?

The certificate records the fingerprint of exactly the statement of work they signed, when and from where. If they produce a different version, its fingerprint will not match on the verification page. Keep the sealed file, not a re-saved copy.

I work alone. Is the free plan enough?

Three contracts a month, three templates and the full certificate, seal and verification are free. If you sign more clients than that, Pro gives unlimited contracts, your branding and contract links for £99 a year.
