Send contracts

From agreed in principle to out for signature in minutes

Upload the agreement you already have, place the fields, choose who signs in what order, and send. AiresDocs chases the people who have not signed, warns you before anything expires, and lets you fix a mistake without starting again.

  • Word, image or PDF files, several in one pack
  • Approvers, witnesses and CCs
  • Correct a sent contract before anyone signs
  • Out the door the same day

A template plus two names and two email addresses is a sent contract. New agreements take minutes, not a morning.

  • Signed in the order you need

Approver first, customer second, you last. Or everyone at once. The order is yours and the system enforces it.

  • Nobody needs chasing

Reminders go out on your schedule and stop the moment someone signs. You see exactly who is holding things up.

  • Mistakes cost a minute, not a day

Wrong email, missing field, old version of the terms: correct the contract in flight and the trail records it honestly.

Prepare

Any agreement, ready to send without rebuilding it

Upload what you already have: a Word file, scans or photos, or a PDF. Several files go into one contract pack with continuous page numbers and one certificate.

Fields that fit real agreements
Signature, initials, date signed, name, email, company, title, text, number, currency, checkbox, radio group, dropdown, attachment request, a read-only note to the signer, and a stamp or image such as your company seal.
Rules so the form comes back right
Mark fields required or read-only, add placeholders and tooltips, and validate entries with presets for email, phone, number ranges, date formats and maximum length. Set font size and alignment per field.
Fields that think
Show or require a field when another answer is ticked, calculate totals from other fields, and link fields so a name typed once appears everywhere it should.
Forms that place themselves
Fillable fields in an uploaded form are detected and offered as recipient fields. Or anchor fields to text such as "Sign here" so a revised version of the contract re-places them for you.
Pre-filled and acknowledged
Fill fields from your side (or from a spreadsheet in bulk send) and show them read-only. Attach terms or disclosures the recipient must tick to acknowledge; the acknowledgement is recorded on the certificate.
Send

The right people, in the right order, proving it is them

Add signers, approvers, witnesses, in-person signers and CCs. Give them an order number: the same number signs in parallel, the next number waits.

Approvals without signatures
An approver reads and approves or rejects, and can sit anywhere in the order. A rejection stops the contract and tells you why.
Witnesses and in-person signing
A witness signs after a named signer and is recorded as such. Host signing on your own device when you are in the room; the certificate shows you hosted it.
Identity per recipient
Email link by default. Add an access code you share by phone, an SMS one-time code, or a government ID check for the people and contracts that warrant it. How identity works.
A message for everyone, and one for each
Subject and message per contract, plus a private message for a particular recipient. Choose which files of a pack each recipient can see.
Delegation you control
Let a signer hand the contract to the right colleague, with name, email and reason recorded, or lock it to the named person.
Follow through

No more chasing, and no surprises when something lapses

A reminder schedule you set once (first after N days, then every M days, up to K times), an expiry with a warning email, and a scheduled send for the exact moment you want it to land.

Status at a glance
Sent, viewed, signed, waiting, declined, expired, with the time of each. Remind, resend or change an email address from the contract page.
Correct in flight
Edit recipients, fields or files of a contract nobody has signed yet. The original is voided and the corrected version goes out under the same ID with a "corrected" event in the trail.
Void with a reason
Stop a contract at any time before completion. Every outstanding link stops working and the recipients are told.
Contacts build themselves
Everyone you send to joins your address book; group them (tenants, clients, candidates) for next time.
Questions

Common questions about send contracts

Anything missing? The help page has more, or email support and a person will reply within one business day.

What files can I send?

The agreement you already have: a Word file, an image (JPG or PNG, each becoming a page) or a PDF of up to 25 MB and 200 pages. Word files are converted in your browser; where the layout would not survive conversion faithfully we tell you and show the one-step export from Word instead of sending a poor copy. Several files can go in one contract pack with one certificate.

Can I change a contract after sending it?

Yes, as long as nobody has signed yet. "Correct" lets you change recipients, fields or files; the original is voided and the corrected version goes out under the same contract ID, with a "corrected" event in the audit trail so the history is honest. Once someone has signed, the file is fixed; void and resend instead.

What is the difference between a signer, an approver and a witness?

A signer signs. An approver reads and approves or rejects without signing; put your manager before the customer, for example. A witness signs after a named signer and is recorded as having witnessed that signature on the certificate. CC recipients simply receive the finished copy. An in-person signer signs on your device while you host the session.

How do reminders work?

Set the first reminder after a number of days, repeat every so many days, and cap the total. Reminders go only to people who still have something to do, and each one is recorded. You can also remind anyone manually at any time, resend a link, or change a recipient's email address if you got it wrong. Contracts expire after 30 days by default (up to 180), with a warning email before they do.

Can a signer pass the contract to someone else?

If you allow it, yes. The signer enters the new person's name, email and a reason; you are notified; the delegation is recorded on the certificate. Switch it off per contract when the named person must sign personally.

Is there a limit on recipients, fields or pages?

Up to 20 recipients and 500 fields per contract, and 200 pages per file. Each contract counts once however many people, files or pages it has. Free accounts can send 3 contracts a month; Pro and Team have no limit.
