For customer teams
Confirmed by the customer in minutes, not days
Customer teams spend too long chasing forms back. AiresDocs sends the welcome form, the service change or the consent the moment it is needed, lets the customer confirm it on their phone in their own language, and keeps a record of exactly what they agreed if there is ever a question.
- Welcome forms completed on the customer's phone
- Service changes confirmed in writing while you are on the call
- Consents recorded exactly as given
What customer teams send through AiresDocs
Each one is a template you set up once. The right-hand column says whether it can be signed electronically, and where the law asks for something more.
Customer welcome and service acceptance
Sign electronicallyThe plan, the start date, how the customer wants to be contacted, and their acceptance of the plan's terms.
Starter template included, with marketing consent as a separate, optional, unticked box.
Service change confirmation
Sign electronicallyAn upgrade, downgrade or other change agreed in writing, with the new price and the date it starts.
Starter template included; send it during the call so the customer confirms before you hang up.
Consent and preferences
Sign electronicallyPermission to contact, to share details with a partner, or to record a call, given clearly and recorded.
Keep each consent separate and optional; the certificate shows what was ticked and when.
Goodwill or settlement agreement
Sign electronicallyWhat you will do to put a complaint right, accepted by the customer so the matter is closed on agreed terms.
Route it to a manager as approver first; the customer is only invited once it is approved.
Ready-made for customer teams
Add one to your templates in the app with one click: the wording, roles, routing and fields are already set up, and you can change any of it. They are a starting point, not legal advice, so read the wording and adapt it to your business.

A new customer confirms their plan, how they want to be contacted and (optionally) marketing consent.

Questions customer teams ask
For the law behind the answers, see when electronic signatures are binding. None of this is legal advice.
Can a new customer confirm their plan and contact preferences in one go?
Yes. The customer welcome starter template has the plan and start date filled in by you, a choice of how they want to be contacted, a tick to accept the plan and a separate, optional tick for marketing. They sign on their phone from the email; no account needed.
How should we ask for marketing consent?
Keep it separate from accepting the service, optional and unticked, and say how to withdraw it, which is what the starter template does. The certificate records whether the box was ticked and when. This is general information, not legal advice.
A customer asked to change their plan on the phone. How do we get it in writing?
Send the service change template while you are still on the call, with the old and new plan, the new price and the date filled in. The customer confirms and signs on their phone; if they did not ask for the change, they decline with a note and you hear about it straight away.
Our customers do not all speak English. Does that matter?
The signing page and its emails come in English, Spanish, French, German, Portuguese, Italian and Dutch, chosen per recipient or from their browser. The contract itself stays in the language you wrote it in.
Can our CRM or helpdesk send these automatically?
Yes, through the API: create the welcome form when an account opens, and update the customer record when the webhook says it is signed. The developer page explains how.
