For sales teams
Close the deal while the customer is still keen
The gap between 'yes' and a signature is where deals cool off. Send the agreement from a template during the call, let the customer sign on their phone, get your manager's approval in the flow, and hold proof of exactly what was agreed if anyone ever disputes the price.
- Quotes and order forms signed in the same conversation
- Approvals before the customer sees the terms
- Proof of the exact price agreed, forever
What sales teams send through AiresDocs
Each one is a template you set up once. The right-hand column says whether it can be signed electronically, and where the law asks for something more.
Quote or proposal
Sign electronicallyScope, price and validity, accepted by the customer's signature so the deal is real rather than "probably".
Pre-fill the price from your CRM; a currency field with validation keeps it tidy.
Order form
Sign electronicallyProducts, quantities, delivery and payment terms, often with your standard terms attached as supplementary documents to acknowledge.
Add your terms as a read-and-acknowledge document; the acknowledgement is recorded on the certificate.
Service agreement or SOW
Sign electronicallyThe long-form agreement for ongoing work: deliverables, fees, notice, liability.
Route an internal approver first for non-standard terms; the customer is only invited once approved.
NDA
Sign electronicallyMutual or one-way confidentiality before a demo or a data exchange.
Publish it as a contract link so prospects can sign before the first meeting without you sending anything.
Ready-made for sales teams
Add one to your templates in the app with one click: the wording, roles, routing and fields are already set up, and you can change any of it. They are a starting point, not legal advice, so read the wording and adapt it to your business.
Mutual non-disclosure agreement
Both sides keep each other's confidential information private while you explore working together.

- 1
Prepare once
Build templates for your quote, order form, service agreement and NDA with roles "Customer" and "Us", an approver slot for non-standard deals, and pre-fillable price and date fields.
- 2
Send on the call
Pick the template, type the customer's name and email (or let your CRM do it through the API), and send. Set a short expiry so the deal does not drift.
- 3
They sign on their phone
The customer reads, asks a question in a comment if needed, and signs. Reminders chase on your schedule if they go quiet; a decline tells you why.
- 4
Closed and filed
The sealed agreement and certificate arrive for everyone; your CRM hears the webhook; the deal moves to won with the signed file attached.
The features that do the work for sales teams
Templates with pre-filled pricing
The price, start date and plan name come from the deal, shown read-only, so the customer signs exactly what you quoted.
Approvers in the routing
A manager approves non-standard terms before the customer is invited. A rejection stops the contract with a reason.
Signing on the customer's phone
No account, no app, seven languages, and a comment box so a question becomes a reply rather than a stalled deal.
CRM integration
Deal won triggers the contract; "completed" updates the deal. One trigger and one webhook cover most sales teams.
Proof of the agreed price
A sealed file and a certificate with the fingerprint of exactly what the customer saw, verifiable by anyone.
Reports on time to close
Median time to sign by template and by rep shows where deals stick, and whose follow-up works.
What it costs
A single rep is fine on Pro; a team sharing templates and seeing each other's pipeline of outstanding agreements wants Team, one flat price for up to ten people.

Questions sales teams ask
For the law behind the answers, see when electronic signatures are binding. None of this is legal advice.
Can the customer sign a quote on their phone while we are still on the call?
Yes. Send from the template during the call; the invitation lands in seconds, the customer opens it on their phone, ticks consent and signs. You see the completion in your contracts list and everyone receives the sealed copy.
How do I make sure my manager approves before the customer sees the discount?
Add your manager as an approver with order 1 and the customer as a signer with order 2. The customer is only invited once the approval is in; a rejection stops the contract and tells you why.
The customer says they never agreed to the price. What do I have?
The certificate shows who signed, from which email and device, when, and the fingerprint of exactly the file they saw, including the price. If the file they produce has a different price, its fingerprint will not match and the verification page says so.
Can I send the order form from our CRM?
Yes, through the API: create a contract from the order-form template with the deal's values when the deal is marked won, and update the deal when the webhook reports it signed. The developer page explains how.
What if the buyer forwards the contract to a colleague who should sign instead?
Allow delegation on the contract. The buyer reassigns it with the colleague's name, email and a reason; you are notified; the hand-over is recorded on the certificate. Switch delegation off when the named person must sign personally.
